So, I'll describe how I do it and what is the system that allows me to do nearly 2x as much work in half the time... π§

Let's start with the problem, then I'll lead you to the solution.

π Why do we want to be more efficient?
Because we live in a fast-paced world that can never slow down. βοΈ
Hence, we want to pick up the pace and join this "productivity movement". π₯
We find ourselves watching more and more YouTube/TikTok videos on little tips. We're adding to our productivity vocabulary... π
And yet we are getting slower with results! π’
It's an interesting paradox when you think about it. π€
The meaning of paradox: By paradox, we mean when we go from statements that are true or seem true to contradictions or common sense.
How illogical is it? π€¨
You watch these videos so you can do more tasks and the result is that you can do less and less...
You would think doing more things at once would help...
But unfortunately, the answer is NO! β
An American Psychology Association study has already shown that "multitasking" - trying to do more than one thing at a time - not only helps your efficiency, it can actually make it worse. π°
"Switching between tasks can eat up as much as 40% of your effective working time."
Okay, we already know that "multitasking" doesn't lead to anything good.
So, what can help? π§
Here I would call on 2 books for help the first is by the brilliant Cal Newport. "Deep Work". Probably one of - if not the - best book on this subject I have ever read. π
π Book Recommendation: I can wholeheartedly recommend this book to everyone! It's called " Deep Work " up at BookBase, a perfect introduction to the world of real productivity. π§
The gist of it is that the author explains why it's better to focus on 1 thing for a longer period of time, instead of rushing back and forth. β
Because we don't switch tasks, we have more mental energy and get tired more slowly = we can do more tasks well. π§
Because we don't get tired, we can go deeper into a project = we can produce better results. π
The author also claims that if we could work only 4 hours a day with full focus, we would be well ahead of people who sit in an office for 8 hours and just "work". π
Also, it was mentioned that 2 hour "deep" work periods are the most optimal, because, after that, the brain's ability to focus starts to deteriorate rapidly. However, 1-1 break can stop this. β³
π‘ Side note: I decided to give up multitasking after reading this book, which was very difficult at first, but then you get used to it. Since then, I've been trying to do 2-hour sessions. I also write this newsletter in 2β3-hour blocks usually. That's what allows me to go that deep into 1 topic to 1 topic. It takes about 3-4 blocks to produce a newsletter.
However, knowing this does not necessarily make you more effective. We don't know what is really important. That's why it's important to read my other favorite productivity book by Greg Mckeown, "Essentialism". π
Book recommendations: Another gem on this topic. Of course, you can find this one in BookBase too, called "Essentialism. Brilliant writing on the basics! π§
Greg explains in the book that it's pointless to be productive if you're going in the wrong direction. So, it's more important to go 1 level up and see what's really important. β¬οΈ
And once we have that, then we can start being productive, because we're going in the right direction. π§
Think about it, you're in the desert, you head South and you don't stop, you can endure for days - productivity in this case - and you just keep going and going. Then it turns out you've just gone further and further into the heart of the desert. π
Or you determine first that you need to head north, then you set off and lo and behold, after 4-5 hours of walking, you've arrived at the Oasis. π
Now that's why it's important to determine your direction first! π
π‘ Side note: I struggled with this too, constantly being distracted by irrelevant things that took up my time and attention. For example, it was completely irrelevant to reply to 1-2 TikTok comments when I could have been looking for new books for BookBase instead. Or posting +1 Story when I could have posted an Ad instead.
Always ask yourself what are the actions that will bring the biggest results and focus on those! π€
Okay now we've got the basics, but we haven't talked anything about time management... π€¨
So, time to catch up, I'm going to show you the system I've been perfecting for 569 days. It's the one that got me through the blizzard in Iceland and to the beach in Italy. βοΈ
Without it, my life would be completely upside down... π€

Let's start with what I've tried and what didn't work. β
Because the solution was right in front of my eyes the whole time and so you can see it too! π
π To-do list for iPhone Reminders
Well, the problem with it was that after 3 days, the list got so long that I was mentally exhausted even just opening it. π§
I saw how much unfinished business, how much energy it was going to take...
Ahh... I was discouraged. π
The only luck I had was that I quickly realized it was untenable and started looking for something else. π§ͺ
You could say "plan gone up in smoke" π
π Calendar full of tasks
It was 1 notch better as I could see my to-do list in an orderly way, but I just couldn't concentrate because I was getting non-stop notifications and stressed that I wasn't done yet. π°
Then I turned the notifications off, but then I forgot the tasks. π€¦π½ββοΈ
Ahh... no way!
Another 1 on my non-existent "Productivity Certificate". 1οΈβ£
At this point I was beginning to wonder if it was me. π€
They work for everyone, but not for me, why?
Am I so different from the rest of them?
Honestly, I was a bit sad because I searched and searched and found nothing! π
Then one winter morning I was browsing YouTube - something I very, very rarely do - and I came across a video on a completely different subject. Maybe it was business building, and then this guy threw in another video as a testimonial, where he was showing off Notion. And lo and behold, the solution was right in front of me the whole time... π€

Weekly To-Do List
The whole point is to divide your to-do list into 7 days. And in these days, you write your to-dos in an orderly way! I'll show you... π
Since it's divided into 7 days it won't be that long!
Plus, you're organized! π
No, you don't need time limits either, so you can be flexible with your tasks! β°
What else do you need?
(Well, there are a few things you can turbocharge, but more on that later)
Now, I'm going to pull back the curtain so far you can see my whole life! π¬
This is what my Weekly To-Do List looks like (HUN):
π‘ Side note: There are some basic things I didn't put in because they are obvious, Exercise, Mama, Lunch, etc. But they are also stored somewhere! We'll get to that! Also, don't look at XPs yet.
And the rough thing is, I live almost every week by it! It gives me a framework for my life, in a way that I've always hated frameworks! But it's flexible enough and orderly enough to work, even for YOU! πΌ
If you look at it anyway, it's a mix of To-Do List and Calendar, about. π§¬
How interesting that they didn't work separately... β

If you want to take it more seriously, now listen... π
First, you can combine it with the Calendar and Focus Blocks. π

π‘ Side note: I always have to take extra time to finish the Substack post... But that's the way it is when you want to go deep into 1 topic or 1 topic.
It's important to note, I don't get notifications here anymore, it's just to let me know how much I have to do, so if someone asks me out, I can look at my calendar and see how much I have to do. π
Because these are time blocks and not exact dates. So, it's easy to move them around. π
I'll give you an example: My friend Taki calls me to see if I'm up for coffee on Monday at 5. I look at my calendar and see that there's a "Campaign Optimization" task, but since I'm in the mood, I can make the time. I take a long look and move it to 7pm after the OM Call. And I'm done... π

Think of these events as Lego blocks and you can stack them here and there, the point is always to use all the blocks! π§±
The colors represent the Focus Blocks, the things inside are just the tasks, so I can have multiple tasks, but all in the same category, ergo no need to switch my brain between anything! π§
That's already pretty advanced, but...
Shall we move on? π
Okay!
So, we have just used the lessons of the book "Deep Work", now it is time to use "Essentialism"! π
You may have seen that there are XP points assigned at Weekly To-Do. Well, I've recently started testing this out too. And it wasn't hard to guess that it came from my Computer Age. βοΈ
The short of it is that I listed all my tasks in order of importance and assigned XP points to them. The most important got the most XP points. That way I know which ones are the most important to do. π
Ergo I start with that one.
That way I always have the essentials in front of me! β
If you're really professional you can even measure your progress this week on a progress bar, but that's ultra-hardcore!
Sidenote: Because it "compartmentalizes" your tasks, you get more external motivation to do them. Very similar to "Excel", which is one of our systems where you can gamify your whole life! π€ͺ
"In short" it's the system I've been perfecting for 1.5 years, always adding or taking away something new. It doesn't change the point, since I've been organizing my tasks in this way, I've been able to get nearly 2x as much work done! ππ»
And my working hours have decreased since I prefer focused work! π
I've tried more than one AI since then and none of them come close! π€

What exactly do you do?
[ ] First, invite a friend and copy the stamp or just draw it on a sheet of paper. π¨
[ ] Step two, fill it with your average week, what are the repetitive tasks (shaving, etc.)π
[ ] Step three, fill it in with your current to-dos for that week only. β
[ ] Step four, if you like, add the Calendar. π
(You can use recurring events and then you only have to do it once)
[ ] Step five, if you want to get more serious, then, add an XP system. Based on the importance of the tasks. βοΈ
[ ] Step Six... Start working on them, because all of this is worth nothing until you act!πͺπΌ
I strongly suggest that you just start with the Weekly to Do first, then slowly, once it's built in, add the Calendar and only then the XP system. Because at first it would completely overwhelm your brain and after 2 days, you'd leave it all there! π£
Remember:
"This is a marathon, not a sprint!"
Have a framework that you like. π§‘
Be purposeful and persistent. π―
Work towards your goals every single day! πͺπΌ
And who knows, if you do this for years, sooner or later you might reach your goal! π
π₯ Challenge
I faced another 2 Challenges this week. One is to plan an Offline event. It's a lot more complicated than I thought, but luckily, I have some helping hands from "Branch". Joci and Bogi. ππ»
Without them it would be about a nightmare to organize this alone, so many little details to take care of. πͺ
The other is the choice of theme for the new Documentary. I'll be honest, I was a bit sad when I saw that only 6,000 people saw the last one. After all, we had more than 200 hours in it and the video stands out high on the Hungarian market. π
But I have to be honest with myself. The video is good enough to stand out in the Hungarian market, but the choice of subject matter is bad enough not to interest young people. π©
Mrbeast said in one of his interviews that a good theme, done badly, can easily beat professional editing and fancy stuff. β
So, there is no way around it... No need to mope, focus on the next one! π
I believe that with these Mini Documentaries we can take the quality of Self Development videos here in the UK to a new level. And who knows, we might even be able to stand our ground in the international market. πͺπΌ

I got my start in "Trust Based Marketing" from Dan S Kennedy. Which is all about how you can earn the trust of your customers ETICALLY. What it takes to get them to trust you and not be afraid to buy from you. π§‘
Brilliant book, I just read a quote from Dan Kennedy in the book Hormozis and that's when I looked it up. He has some great thoughts. π
I have incorporated a lot of what I learned from the Hormoziβs book. Now I just need to do the bonuses and plug them into the Application. π
